Admissions Coordinator

Title:   Admissions Coordinator

Position Summary: This position is key to the new student enrollment process. This role is one of assisting in follow‑up for new students after application. Works closely with a team of Assistant Directors of Admissions (ADA’s), with the ideal ratio four Assistant Directors per Admissions Coordinator. The position is of a customer service nature, guiding the new student through the understanding of financial aid forms and processes, transfer of credit, housing selection, part‑time job assistance requests, and assisting in collection of pre‑matriculation payments. Provides information to the Director of Admissions (DOA) and the ADA's who are on their assigned team regarding the status of the new students in the enrollment process.

Key Job Elements:

  1. Meets with newly enrolled students and parents in person or on the phone to review forms and explain the enrollment and planning process. Addresses specifics on the completion of the forms not permitted to be covered in the enrollment interview by the ADA by law / regulations. Ensures that student has received all required consumer information including a catalog and Financial Aid packet.
  2. Assists in collection of tuition deposit and payments prior to matriculation.
  3. Assists in determination of part‑time job assistance need and informs ADA and Career Services of the requirement.
  4. Assists in the determination of housing need and informs ADA, SFS, and housing office of selection.
  5. Assists in transfer of credit process with securing transcripts and copies of catalogs / course descriptions. Sends materials to the education departments and tracks until complete. Informs ADA and SFS of results. Assists in securing high school transcript / proof of graduation documentation.
  6. Assists in admissions testing requirements; scheduling of test, etc., if applicable.
  7. Assists with the collection of all other paperwork such as Deadline Agreements, Transferability of Credit Form, and Enrollment Agreement and answers specific questions during the form completion process. Follows up on missing forms until file is complete. Acts on all missing forms notices from SFS.
  8. Meets with assigned ADA’s regularly to inform them of the status of follow‑up with their new student list. Participates in new student accountability meetings, reviewing their assigned student lists with the ADA and DOA and Student Financial Services team members.
  9. Obeys all state, federal, and accreditation requirements and laws and adheres to all school policies pertaining to the admissions and student financial aid process.
  10. Assists in all admissions special events such as: open house, career day, orientations, high school tours, etc. as requested by the Director of Admissions.

Organizational Relationships: Reports to the Senior Admissions Coordinator. Works with ADA team. Interacts with students, staff, and faculty.

Position Specifications:

  1. Bachelor degree or equivalent experience.
  2. Customer service orientation, personable nature.
  3. Ability to communicate and effectively act as a member of a team.
  4. Ability to follow up, good with details, ability to deal with many issues concurrently.
  5. Computer literacy required.

Environment: This position serves as a liaison between the student and the Admissions and Student Financial Services and other departments (Housing, Employment, and Education). There are significant regulatory restraints regarding student financial aid. School policies and procedures regarding admissions processing and student financial services exist. The operating environment is structured with quantitative targets to be met.
