Administrative Assistant - Registrar's Office

Title: Administrative Assistant- Registrar

Department: Academic Affairs

Position Summary:
Provides administrative support to the Registrar department head and other staff members of the department Also provides customer service to students seeking service at the window. This position functions within the guidelines of the Family Educational Rights and Privacy Act and the policies of The Art Institute of Philadelphia.

Key Job Elements:

  1. Attends to requests made by students and others who seek service at the Registrar’s service window.
  2. Fulfills all requests for certification and deferment letters.
  3. Audits new student files for completion and follows up with admissions until file is complete.
  4. Maintains file room.
  5. Cross trains in the other functions performed by registrar’s office: attendance, registration, withdrawals, transcripts, etc.
  6. May fill in for other Administrative Assistants in the Academic Affairs Department as needed.

Organizational Relationships:
Reports to: Registrar
Interacts with: Other registrar department employees and all levels of management, students, faculty, and staff at the school as well as some visitors.

Position Requirements:

  • Bachelors’ Degree
  • At least two years' progressive experience providing professional administrative support in a fast paced environment.
  • Personal computing skills: proficiency in Microsoft Word 97, Power Point 97 and Excel 97. Some experience in database programs.
  • Excellent organizational abilities.
  • Superior communication skills, both written and oral to effectively communicate to all employee levels within the Company. Professional telephone manner.
  • Problem-solving and analytical skills. Ability to handle multiple tasks.
  • Experience handling the scheduling of conference calls and meetings, including travel arrangements.
Environment:
This position operates with considerable supervision and direction. It supports the function of the department and the Department Director. Internal contacts include all levels of management, students, faculty and staff at the school and CS personnel. External contacts include visitors, parents and vendors.
